Terms and Conditions for Online Coaching Services
1. Introduction
This Agreement is entered into by and between Irina Foma, Insighthum, (Coach) and the Client, whereby Coach agrees to provide Coaching Services for Client through a Third-Party Platform – Paperbell.com.
2. Description of Coaching
Coaching is a partnership between the Coach and the Client in a thought-provoking and creative process that inspires the client to maximize personal and professional potential. It is designed to facilitate the creation and development of personal, professional, or business goals and to develop and carry out a strategy for achieving those goals.
3. Coach-Client Relationship
3.1 The Coach agrees to maintain the ethics and standards of behaviour established by the International Coach Federation (ICF).
3.2 The Client is solely responsible for their own well-being, decisions, choices, actions, and results arising from the coaching relationship. The Client understands that coaching is not therapy and does not substitute for therapy if needed.
3.3 The Client acknowledges that coaching does not involve the diagnosis or treatment of mental disorders and is not a substitute for professional advice from legal, medical, or other qualified professionals.
4. Services and Fees
4.1 The coaching program will be delivered through Paperbell.com.
4.2. The sessions should be paid before the Appointments are scheduled (exceptions possible for subscription-based packages, see below)
4.3. All packages include bi-weekly sessions by default. The frequency of sessions can be changed to weekly upon request and availability and will be used within 12 months from the moment of purchase.
4.4 Fees are as displayed on the platform at the time of booking. All prices are in EUR and include applicable taxes. Any currency conversion fees are the responsibility of the client.
4.5 Payment is processed through Stripe as our payment processor. By making a payment, you agree to Stripe's Services Agreement available at
https://stripe.com/legal.
4.6. We accept payments via credit card, debit card, and other methods supported by Stripe in your region.
4.7. All payment information is encrypted and securely processed through Stripe. We do not store your full credit card details on our servers.
4.8. For subscription-based services, you authorize us to charge your payment method on a recurring basis until you cancel or your subscription expires.
4.9. If a payment fails, we reserve the right to retry the charge or suspend services until payment is received.
4.10. Refunds, when applicable, will be processed through Stripe to the original payment method used for the transaction.
4.11. Any payment disputes should be raised with us directly before initiating a chargeback through your card issuer.
4.12. Gift Vouchers
4.12.1. Certain services are offered via Gift Vouchers, which represent a prepaid right to redeem a specific coaching session as described at the time of purchase.
4.12.2. The purchase of a Gift Voucher does not constitute the start of a coaching relationship. A coaching agreement is formed only when the recipient redeems the voucher and books a session.
4.12.3. Gift Vouchers are valid for three (3) months from the date of issue, unless otherwise stated. The expiry date is indicated on the voucher and in the confirmation email. Gift Vouchers must be redeemed and the session completed within the validity period. Expired vouchers cannot be extended, refunded, or exchanged.
4.12.4. Gift Vouchers are non-refundable, have no cash value, and cannot be exchanged for other services unless explicitly agreed in writing or required by applicable consumer protection laws.
4.12.5. By redeeming a Gift Voucher, the recipient agrees to be bound by the applicable sections of these Terms and Conditions, including those relating to the nature of coaching, client responsibility, confidentiality, scheduling, and cancellations.
4.12.6. Gift Voucher sessions are subject to availability. Cancellations or no-shows with less than 24 hours’ notice will be considered a redeemed session.
5. Scheduling and Cancellation
5.1 Appointments are scheduled through the Paperbell platform's booking system.
5.2 The Client agrees to provide at least 24 hours notice for cancellation or rescheduling. Late cancellations or no-shows may be charged the full session fee.
6. Refund Policy
Right of Withdrawal:
You have the right to withdraw from this contract within fourteen (14) calendar days without giving any reason. The withdrawal period will expire after fourteen (14) calendar days from the day of conclusion of the contract.
To exercise your right of withdrawal, you must inform us of your decision to withdraw from this contract by an unequivocal statement (e.g., a letter sent by email).
Effects of Withdrawal:
If you withdraw from this contract during the withdrawal period and services have not been fully performed, we shall reimburse to you all payments received from you without undue delay and in any event no later than fourteen (14) calendar days from the day on which we were informed about your decision to withdraw.
If you requested to begin the performance of the services during the withdrawal period with your prior express consent, you shall pay us an amount proportionate to the services provided until you communicated your withdrawal, compared with the full coverage of the contract.
In the event of cancellation or refund requests relating to prepaid but unused coaching sessions, you acknowledge and agree that the Coach shall be entitled to retain an administrative fee amounting to ten percent (10%) of the value of such unused sessions. This administrative fee is intended to cover reasonable costs incurred by the Coach in administrative processing, scheduling, and preparation related to the provision of services.
Cancellation requests must be submitted in writing (including electronic communication). Refunds, minus the applicable administrative fee, will be processed within fourteen (14) calendar days of receipt and confirmation of such request.
The Coach reserves the right to waive or reduce the administrative fee in cases of timely cancellation (at least fourteen (14) calendar days in advance) or in cases of valid reasons such as illness or force majeure.
Nothing in this clause shall limit or exclude your rights under applicable EU or domestic consumer protection laws.
For digital content not supplied on a tangible medium, you acknowledge that you lose your right of withdrawal once the performance has begun with your prior express consent.
7. Confidentiality
7.1 The Coach agrees to maintain the confidentiality of all information shared by the Client, except as required by law or in cases where there is a risk of harm to the Client or others.
7.2 The Client acknowledges that the coaching relationship is not considered a legally confidential relationship (like medical and legal professions) and communications are not subject to the protection of any legally recognized privilege.
7.3. Release of Information (Optional, based upon the specific situation) The Coach engages in training and continuing education pursuing and/or maintaining ICF (International Coach Federation) Credentials. That process requires the names and contact information of all Clients for possible verification by ICF. By signing this agreement, you agree to have only your name, contact information and start and end dates of coaching shared with ICF staff members and/or other parties involved in this process for the sole and necessary purpose of verifying the coaching relationship, no personal notes will be shared.
According to the ethics of our profession, topics may be anonymously and hypothetically shared with other coaching professionals for training, supervision, mentoring, evaluation, and for coach professional development and/or consultation purposes.
8. Intellectual Property
All materials provided as part of the coaching services are protected by copyright and other intellectual property laws. Clients may not reproduce, distribute, or create derivative works without express permission.
9. Limitation of Liability
9.1 The Coach is not liable for any actions, inactions, or results of the Client.
9.2 The Coach is not responsible for any damages or losses resulting from the use of the third-party platform, unauthorized access to servers, or interruption of services.
10. Data Protection and Privacy
We are committed to protecting your personal data and ensuring its confidentiality. This privacy policy explains what data we collect, how we use it, your rights, and how you can exercise them.
10.1. Data Collection and Use
We collect and process personal data for the following purposes:
- Order Fulfillment: To process and deliver your orders, including name, email address, delivery address, payment information, and phone number. These records are retained for 7 years to comply with legal requirements.
- Marketing and Communication: To send newsletters, invitations, and personalized messages based on your preferences and consent.
- Customer Management: To manage customer accounts, monitor creditworthiness, and enhance our services.
- Legal Obligations: To comply with applicable laws and regulations.
10.2. Legal Basis for Processing
Your data is processed on the following grounds:
- Consent (e.g., newsletters and personalized marketing).
- Contractual necessity (e.g., order processing).
- Legal compliance.
- Legitimate interests (e.g., improving our services and communications).
10.3. Data Sharing
We do not sell your data. Personal data may be shared with:
- Internal staff or contractors.
- Third parties for IT infrastructure, web hosting, or newsletter delivery.
- Service providers within the European Economic Area (EEA). If shared outside the EEA, data protection is ensured through approved agreements (e.g., EU-US Privacy Shield).
10.4. Your Rights
You have the right to:
- Access your personal data.
- Request correction or deletion of inaccurate data.
- Object to or limit data processing.
- Receive a copy of your data in a portable format.
- Withdraw consent for marketing communications.

11. Platform-Specific Terms
11.1 You are responsible for maintaining the confidentiality of your account credentials.
12. Termination
Either party may terminate this Agreement with written notice. The Client agrees to compensate the Coach for all services rendered through the effective date of termination.
13. Governing Law and Jurisdiction
This Agreement is governed by the laws of Belgium/EU Member State. Any disputes shall be subject to the exclusive jurisdiction of the courts of Belgium/EU Member State.
14. Changes to Terms
We reserve the right to modify these Terms and Conditions. Changes will be effective upon posting to the platform. Your continued use of our services constitutes acceptance of the modified terms.
By using our services, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
