Terms & Conditions
Meghan Fitzpatrick | Helpful Conversations
These terms and conditions apply to all coaching and therapeutic coaching services provided by Meghan Fitzpatrick through Paperbell. Where a separate Professional Counselling Agreement is required (for therapy clients), that agreement will be provided and must be signed prior to your first session. These T&Cs sit alongside that agreement and apply to all clients regardless of the nature of our work together.
Our Work Together
The aim of our work is to provide you with a confidential, supportive, non-judgmental and safe space to explore where you are, where you want to be, and how to get there. Depending on the nature of our work this may be coaching, therapeutic coaching, or counselling.
Coaching is a forward-focused, collaborative process. Therapeutic coaching integrates elements of both coaching and therapy, drawing on my background as a qualified therapist and coach to support the whole person. Where our work is therapeutic in nature, please note that "Psychotherapist" is a protected title and licensing varies by country and, in the US, by state. When working with clients outside of the UK I practise strictly as a Therapeutic Coach.
Our sessions may at times bring up uncomfortable feelings. This is a natural part of the process and something we will navigate together.
Professional Standards & Qualifications
I am committed to upholding the highest professional and ethical standards in all of my work.
I am a registered member of the British Association for Counselling and Psychotherapy (BACP) and adhere to their Ethical Framework for Good Practice in all therapeutic work. You can read more at
bacp.co.uk/ethical-framework.
I also hold a Practitioner qualification from the American Board of Neuro Linguistic Programming (ABNLP). You can find out more at
anlp.org.
My therapeutic approach is integrative and my practical approach is holistic.
Supervision
As required by the BACP code of practice, I engage in regular monthly clinical supervision with a qualified supervisor. This ensures I continue to provide an ethical, professional and reflective service to all clients. I may discuss aspects of our work with my supervisor, but no identifying details will ever be shared.
Confidentiality
All sessions are confidential. I maintain confidentiality in accordance with the BACP Ethical Framework and UK law. There are, however, specific circumstances in which I am legally or ethically required to break confidentiality:
- If you threaten harm to yourself or another person
- If I believe a child or protected adult is at risk of harm or abuse
- If the courts instruct me to provide information
- If you disclose information about a proposed act of terrorism or other illegal act
Where possible, I will discuss any decision to break confidentiality with you first. However, I retain the right to act immediately and without prior consultation where I believe there is urgent risk to the physical safety of yourself or others.
In cases involving terrorism or the Children's Act, disclosures will be passed to the relevant authority without delay.
Session Recordings
Recordings of sessions are not permitted by either party.
Communication Outside of Sessions
Communication outside of sessions is limited to appointment confirmations, cancellations and emergencies. This is to protect the integrity of our work together and to maintain appropriate professional boundaries.
I do not accept social media friend or follow requests on personal accounts. I also ask that you do not publish details of our work together on social media or any public forum, in order to protect the confidentiality of the therapeutic relationship.
Record Keeping & Data Protection
To support our work I need to hold some personal data about you, including your name, email address and contact number. In accordance with the General Data Protection Regulation (GDPR 2018), by engaging my services you are giving your consent for me to store and process your personal data for this purpose.
I am registered with the Information Commissioner's Office (ICO). Your data is held securely and subject to GDPR regulations at all times. Specifically:
- Digital records are held on a password-protected device to which only I have access
- Any paper documents are stored securely in a locked cabinet
- General correspondence will be retained but sensitive email content will be deleted
- Session notes are kept without your full name or contact details and are stored securely
- All data will be retained for six years and then securely and non-recoverably destroyed
If you have any concerns about how your data is stored or used, please raise these with me directly. Please be aware that I may not be able to offer services without your consent to store the necessary data.
Sessions, Cancellations & Scheduling
All standard sessions are 60 minutes. You book an hour, you get an hour. Some packages include 90-minute sessions, which will be clearly indicated at the time of booking. Sessions will start and finish at the agreed time. Late arrival does not extend the session beyond the agreed end time.
Consistency is an important part of the process, whether we are working therapeutically or in a coaching capacity. Frequent missed sessions or schedule changes reduce the effectiveness of our work together.
Cancellations and rescheduling: Please give as much notice as possible if you need to cancel or reschedule. With 48 hours notice or more I will do my best to offer an alternative time that same week. The booking system locks 24 hours prior to a session and cancellations or reschedules cannot be made inside this window except in the case of genuine emergency.
Late arrival: If you are going to be late please let me know as early as possible. Sessions cannot be extended beyond the agreed end time regardless of late arrival.
Missed sessions: Communication is a core part of our working relationship. If you miss 2 consecutive sessions without making contact to discuss the situation, I reserve the right to terminate our work together.
Ending our work: If you wish to discontinue at any point I ask that you give one week's notice so that we have the opportunity to discuss your decision and reach a proper close to our work. Abrupt endings are not in your best therapeutic or coaching interest and I will always endeavour to support a healthy ending to our work together.
If I need to cancel: I will aim to give you at least 48 hours notice and will try to offer an alternative time that same week.
Session Bundles
All sessions and packages are non-refundable once booked. Bundle sessions must be used within the timeframe specified at the time of purchase, with a 2-week grace period. For example, a 6-session bundle purchased for 6 weeks may be used over up to 8 weeks. In the event of a genuine emergency, sessions may be placed on hold by agreement.
Online Sessions
Please ensure you are in a private, uninterrupted space for all online sessions. If technical difficulties arise and a session cannot continue, we will switch to a phone call where possible.
Sessions cannot take place if you are under the influence of alcohol or substances, unless those substances are prescribed by a registered doctor and do not affect your capacity to engage in the session.
Emergencies
I am not an emergency service and am unable to offer immediate or crisis sessions. If you need urgent help please contact your GP, attend your nearest A&E, or reach out to one of the following:
- UK — Samaritans: 116 123 | samaritans.org
- USA — 988 Suicide & Crisis Lifeline: call or text 988 | 988lifeline.org
- Ireland — Samaritans: 116 123 | samaritans.ie | Pieta House: 1800 247 247 | pieta.ie
- Portugal — SOS Voz Amiga: 213 544 545 | sosvosamiga.pt
If you are based elsewhere please contact your local emergency services or search for a crisis helpline in your country.
In the unlikely event that I am unable to attend a session due to illness or emergency, I will contact you as soon as possible. If I am unable to do so myself, my supervisor will contact my clients on my behalf.
Governing Law
These terms and conditions are primarily governed by the laws of England and Wales. Where clients are based in Ireland, Irish law will apply. As my practice expands internationally, I am committed to ensuring my qualifications and practice meet the relevant professional and legal standards in each jurisdiction I work within.
Agreement
By booking a session or package through Paperbell you are confirming that you have read, understood and agree to these Terms and Conditions.
