Terms & Conditions

Welcome to H.E.A.R.T. Life Coaching. These Terms & Conditions outline the expectations, responsibilities, policies, and conditions associated with participating in coaching services provided by H.E.A.R.T. Life Coaching.

By purchasing, scheduling, or participating in coaching services, you acknowledge that you have read, understood, and agree to these Terms.

1. Coaching Services
H.E.A.R.T. Life Coaching provides coaching services designed to support personal development, self-awareness, goal achievement, decision-making, accountability, and positive life changes. 

Coaching may include conversations and strategies related to areas such as:
  • Personal growth and development
  • Stress and burnout
  • Grief and life transitions
  • Relationships and communication
  • Boundaries
  • Confidence and self-esteem
  • Career development
  • Work-life balance
  • Motivation
  • Habits and routines
  • Emotional awareness and regulation
  • Goal setting and achievement
  • Leadership and personal development

Coaching is a collaborative process. The Coach may use questions, observations, assessments, educational information, exercises, resources, strategies, action planning, and suggestions to support the Client's goals.
The Client remains responsible for determining which decisions, actions, recommendations, and strategies are appropriate for their individual circumstances.

2. Coaching Is Not Therapy
Coaching services provided through H.E.A.R.T. Life Coaching are not psychotherapy, counseling, psychiatric care, medical treatment, or another form of licensed healthcare service.

Although coaching conversations may include emotions, relationships, past experiences, grief, stress, behavioral patterns, and other personal concerns, these topics are addressed through a coaching lens with an emphasis on self-awareness, personal development, goals, decision-making, and forward movement.

Coaching does not include diagnosing or treating mental health disorders.
If concerns arise that appear to be outside the scope of coaching, the Coach will recommend that the Client seek additional support from an appropriately qualified professional, such as a licensed mental health provider, physician, or other healthcare professional.

Coaching may complement therapy, medical care, or other professional services when appropriate, but coaching is not a substitute for these services.

3. Emergency and Crisis Situations
H.E.A.R.T. Life Coaching is not an emergency, crisis intervention, or crisis response service.

The Coach does not provide 24-hour monitoring, crisis intervention, or emergency response services.

If a Client is experiencing a medical or mental health emergency or believes they may be in immediate danger, they should contact appropriate emergency or crisis services rather than waiting for a response from H.E.A.R.T. Life Coaching.

4. Session Length
Coaching sessions are 45 minutes.
This time is used to discuss the Client's current focus, review progress toward established goals, explore challenges or opportunities, identify strategies, and establish appropriate action steps.
Discovery calls are 30 minutes.
Discovery calls provide an opportunity for the prospective Client and Coach to get acquainted, discuss what the Client is seeking support with, review coaching goals and expectations, answer questions about the coaching process, and determine whether coaching together may be an appropriate fit.

Discovery calls are not coaching or therapy sessions.

5. Scheduling and Punctuality
Clients are responsible for scheduling appointments through the designated scheduling system and are encouraged to arrive on time and prepared for their sessions.

The Coach will wait for the Client for up to 10 minutes after the scheduled session start time.

If the Client has not arrived or joined the session within 10 minutes, the appointment will be considered a no-show, the session will be closed, and no refund will be provided.

If the Client arrives within the 10-minute grace period, the session will still end at the originally scheduled time. The session will not be extended to make up for time lost because of the Client's late arrival.

For example, if a coaching session is scheduled from 2:00 p.m. to 2:45 p.m. and the Client joins at 2:08 p.m., the session will still end at 2:45 p.m.

If the Coach is responsible for a significant delay, reasonable efforts will be made to provide the Client with their full scheduled session time or arrange another appropriate solution.

6. Cancellations and Rescheduling
Clients must cancel or reschedule their appointment at least 24 hours before the scheduled appointment time to avoid being charged for the session.
A cancellation or rescheduling request received less than 24 hours before the scheduled appointment will be considered a late cancellation.

Clients who cancel or request to reschedule within the 24-hour period will be responsible for the full cost of the scheduled session.

If the session has already been paid for, the payment will be applied to the missed or late-canceled session and will not be refunded or transferred to a future appointment.

If payment has not yet been collected, the Client will be charged the full session fee in accordance with the payment authorization and policies associated with their booking.

A Client who does not attend their appointment and does not provide appropriate cancellation notice will be considered a no-show and will be responsible for the full session fee.

Exceptions may be considered for documented emergencies or extraordinary circumstances at the discretion of H.E.A.R.T. Life Coaching.


7. Payments
Payment for coaching services is due according to the terms displayed when the Client schedules or purchases a coaching service, program, or package.

Clients are responsible for reviewing the price and payment terms before completing their purchase.

Unless otherwise specifically stated, coaching services provided by H.E.A.R.T. Life Coaching are private-pay services and are not billed to health insurance as psychotherapy or other healthcare treatment.

Clients are responsible for ensuring that their payment information is current and accurate.

8. Refund Policy
Payments for coaching sessions that have already been completed are non-refundable.
No refunds will be provided for appointments considered no-shows under the 10-minute grace-period policy.

9. Client Responsibilities
Coaching is a collaborative process and works best when Clients actively participate.

Clients agree to:
  • Attend scheduled sessions and participate actively.
  • Communicate openly and honestly.
  • Identify goals, challenges, and areas they would like to address.
  • Ask questions when clarification is needed.
  • Take responsibility for their choices and actions.
  • Complete agreed-upon action steps when appropriate.
  • Communicate when coaching is no longer meeting their needs.

The Client understands that the Coach cannot guarantee any particular personal, professional, financial, relational, health, career, or other outcome.
The Client remains responsible for their decisions, actions, behaviors, and results.

11. Professional Advice
Information shared during coaching is intended for coaching, educational, and personal-development purposes.
Coaching should not be considered a substitute for medical, psychological, psychiatric, legal, financial, tax, nutritional, or other specialized professional advice.
Clients should consult an appropriately licensed or qualified professional when their circumstances require specialized professional guidance.

12. Confidentiality and Privacy
H.E.A.R.T. Life Coaching respects Client privacy and will make reasonable efforts to protect information shared within the coaching relationship.

There may be circumstances in which information must or may appropriately be disclosed because of applicable law, legal process, safety concerns, the Client's authorization, or other legal obligations.

Additional information concerning how personal information is collected, stored, used, and protected may be addressed in the H.E.A.R.T. Life Coaching Privacy Policy.

13. Communication Between Sessions
Communication outside scheduled coaching sessions should occur through the communication methods designated by H.E.A.R.T. Life Coaching.
Communication between sessions is generally intended for scheduling, administrative matters, brief updates, or other matters appropriate for coaching.
Clients should not use email, text messages, scheduling platforms, or other coaching communication methods for emergencies or crisis situations.
Response times may vary, and H.E.A.R.T. Life Coaching does not provide 24-hour communication or monitoring.

14. Electronic Communication
Coaching services and Client communication may occur through email, telephone, video conferencing, scheduling platforms, client-management systems, or other electronic services.
Although reasonable precautions may be taken to protect Client information, electronic communication carries inherent privacy and security risks, and no electronic communication system can be guaranteed to be completely secure.
By participating in virtual coaching and communicating electronically, the Client acknowledges these risks.

15. Virtual Coaching Sessions
Coaching sessions may be provided through video, telephone, or another approved virtual communication method.
Clients are responsible for having appropriate technology, internet access, telephone access, and other equipment necessary to participate.

Clients are encouraged to participate from a private, safe, and reasonably distraction-free environment whenever possible. The sessions can not be conducted if you are in a moving car whether you are driving or the passenger.
If technical difficulties significantly interfere with a session, the Coach and Client will determine an appropriate next step. This may include reconnecting, switching communication methods, continuing by telephone, or rescheduling the remaining session time when appropriate.

16. Recording Sessions
Clients may not audio record, video record, photograph, screen-record, reproduce, livestream, publish, or distribute coaching sessions without prior written permission from H.E.A.R.T. Life Coaching.

H.E.A.R.T. Life Coaching will not intentionally record a coaching session without informing the Client and obtaining any consent required by applicable law.

17. Intellectual Property
Worksheets, exercises, guides, presentations, educational materials, videos, written resources, coaching tools, frameworks, handouts, digital materials, and other original materials provided by H.E.A.R.T. Life Coaching remain the intellectual property of H.E.A.R.T. Life Coaching unless otherwise stated.
Materials provided to Clients are intended for the Client's personal use.
Clients may not reproduce, copy, modify, sell, publish, distribute, teach, share publicly, or use these materials commercially without prior written permission from H.E.A.R.T. Life Coaching.

18. Testimonials and Client Information
H.E.A.R.T. Life Coaching will not intentionally use a Client's name, photograph, testimonial, story, or other identifying information for marketing or promotional purposes without appropriate permission.

Providing a testimonial does not guarantee that it will be published or used.
When permission is provided, H.E.A.R.T. Life Coaching will use the testimonial according to the terms of that authorization.

19. Results and No Guarantees
Every Client's circumstances, goals, participation, and coaching experience are different.

H.E.A.R.T. Life Coaching does not guarantee any particular outcome or result from participating in coaching.

Client testimonials, examples, success stories, or descriptions of previous coaching experiences are provided for informational purposes and should not be interpreted as promises or guarantees that another Client will experience the same results.

20. Ending the Coaching Relationship
Either the Client or H.E.A.R.T. Life Coaching may choose to end the coaching relationship.
H.E.A.R.T. Life Coaching may discontinue coaching services when:
  • Coaching is no longer appropriate for the Client's needs.
  • The Client's needs appear to exceed the scope of coaching.
  • A different type or level of professional support may be more appropriate.
  • There are repeated missed appointments or policy violations.
  • Payments remain outstanding.
  • Professional boundaries are repeatedly violated.
  • There is threatening, abusive, harassing, or inappropriate behavior.
  • Continuing the coaching relationship would otherwise be inappropriate.

When appropriate, the Coach may encourage the Client to seek services from another coach, therapist, healthcare provider, or other qualified professional.
Any outstanding financial responsibilities remain subject to the payment, cancellation, package, and refund policies applicable to the services purchased.

21. Respectful Conduct and Professional Boundaries
H.E.A.R.T. Life Coaching is committed to maintaining a professional, respectful, inclusive, and safe coaching environment.

Clients and the Coach are expected to communicate respectfully and maintain appropriate professional boundaries.

Harassment, threats, discriminatory conduct, abusive behavior, sexual misconduct, or repeated violations of professional boundaries may result in the immediate termination of coaching services.

22. Limitation of Responsibility
The Client acknowledges that coaching is a collaborative personal-development service and that decisions made before, during, or after coaching remain the Client's responsibility.
To the extent permitted by applicable law, H.E.A.R.T. Life Coaching is not responsible for decisions, actions, or outcomes resulting from the Client's independent choices.
Nothing in these Terms is intended to waive any legal right, responsibility, or protection that cannot legally be waived.

23. Changes to These Terms
H.E.A.R.T. Life Coaching may periodically update these Terms & Conditions to reflect changes in services, business practices, policies, technology, or applicable requirements.
The version applicable to a Client's services will be the version provided or made available in connection with those services, subject to applicable law and any separate written agreement between H.E.A.R.T. Life Coaching and the Client.

24. Governing Law
These Terms & Conditions will be governed by the laws of the State of North Carolina, without regard to conflict-of-law principles, except where the laws of another jurisdiction are required to apply.

Client Acknowledgment
By purchasing, scheduling, or participating in coaching services provided by H.E.A.R.T. Life Coaching, the Client acknowledges that they have read and understood these Terms & Conditions.

The Client acknowledges that they understand:
  • Coaching is not psychotherapy, counseling, psychiatric care, or medical treatment.
  • Standard coaching sessions are 45 minutes.
  • Discovery calls are 30 minutes.
  • The Coach will wait up to 10 minutes after the scheduled start of a coaching session.
  • After 10 minutes, an unattended appointment will be considered a no-show, the session will be closed, and no refund will be provided.
  • Arriving late does not mean that the session will be extended beyond its originally scheduled ending time.
  • Coaching outcomes cannot be guaranteed.
  • The Client remains responsible for their own decisions and actions.

By proceeding with services, the Client voluntarily agrees to participate in coaching under these Terms & Conditions.
